How to Build a Restaurant Email List
A useful restaurant email list grows when guests understand what they are signing up for and can choose freely. Start with a small number of clear signup points, send the updates you described, and make unsubscribing straightforward through your email service.
1. Add an optional signup to online reservations
Place a separate, unchecked email signup near the reservation confirmation. Explain what subscribers will receive and how often you expect to write.
2. Use a QR code in the dining room
Link to a short signup page from table cards or menus. Make joining optional and describe the kind of updates guests can expect.
3. Invite guests at checkout
Train staff to mention the list briefly and without pressure. Let guests enter their own address through a form or QR code.
4. Add a signup to your website
Use a visible form with a clear purpose, such as menu updates, event announcements, or occasional restaurant news.
5. Offer a useful subscriber benefit
If you promise early access, a welcome offer, or event news, define the benefit and its terms before promoting it. Do not advertise a perk you cannot reliably provide.
6. Collect opt-ins at events
Use a dedicated signup form at tastings, pop-ups, and community events. Record where and when people subscribed so the source is clear to your team.
7. Use a Wi-Fi signup only with clear choice
If you request an email address for Wi-Fi access, make marketing consent an understandable choice instead of implying that promotional emails are required for connectivity.
8. Invite existing guests through appropriate channels
Use receipts, social profiles, and in-store signage to point people to your signup form. Do not treat a past purchase or reservation as automatic permission for ongoing marketing.
Sample signup wording
Get occasional notes from [Restaurant Name] about seasonal dishes, upcoming events, and restaurant news. We’ll email you about [frequency]. You can unsubscribe at any time.
Replace the brackets with accurate details. Keep the signup optional and show the relevant privacy information next to the form.
Keep your list useful
- Use a signup form that records consent and its source.
- Send relevant messages at a pace you can sustain.
- Keep your sender name recognizable and the subject line honest.
- Remove invalid addresses and honor unsubscribe requests through your email platform.
- Review the marketing and privacy rules that apply where your restaurant and subscribers are located.
Email requirements vary by location and situation; this guide is operational guidance, not legal advice.
